Connect for Google Workspace is first and foremost, a messaging and collaboration platform. It provides email, calendaring, chat and document collaboration. Google Workspace is available to UCSB students, faculty and staff. Authorized users are subject to the following additional requirements:

  • Google should not be used as a primary data back-up repository or for the storage of data that is not intended for regular access and use. This would include:
    • Archive files (.ZIP, .RAR, tar, gzip)
    • Audio formats (MP3, MPEG, WAV, .ogg, .opus)
    • Image files (.JPEG, .PNG, .GIF, .BMP, .TIFF, .SVG)
    • Markup/Code (.CSS, .HTML, .PHP, .C, .CPP, .H, .HPP, .JS, .java, .py)
    • Video files (WebM, .MPEG4, .3GPP, .MOV, .AVI, .MPEGPS, .WMV, .FLV, .ogg)
  • Do not rely on Google or UCSB Connect to back-up your data. UCSB Connect is not responsible for lost data.
  • Backup critical files on other storage services. Use (storage options) to find alternative storage options. 
  • Google should not be used to store personal files or data not related to your employment or coursework at the university.
  • You are responsible for the integrity of your data files. 
  • Comply with campus policies regarding UCSB's intellectual property.
  • While you can access many Google Apps with your UCSB Connect account, only Google Workspace Core Apps are protected by the Google Apps for Education terms of service.  Consumer Apps may or may not be available campus-wide.
  • Exercise caution when sharing documents with non-UCSB users. UCSB Google Workspace is covered by the Google Apps for Education terms of service, which states that Google asserts no ownership or use rights; however, non-UCSB users may be subject to different Terms of Service. UCSB Connect users, therefore, should know: 1) who they are sharing their intellectual property (IP) with and 2) be confident that these users will safeguard the IP.
  • Adhere to UCSB policies regarding retention of course-related materials, where appropriate.
  • Remove content before leaving UCSB. User accounts will be purged, according to existing campus procedures. Once an account is purged, users and collaborators will no longer have access to content.
